What Does It Mean to Have a Remote Insurance Service Agent?

At Harbor Brenn Insurance Agencies, we’re always adapting to meet the changing needs of our clients and our team. One of the biggest shifts in recent years has been the introduction of remote and hybrid roles within our agency, especially for our service team. But what does that mean for you as a client? And why is it something we’ve chosen to embrace?

The Value of Remote Service Agents

Today’s insurance environment requires highly skilled, licensed, and knowledgeable professionals, and those individuals are in high demand. We’re fortunate to have team members who not only meet those standards but who live throughout Michigan and can serve you with the same level of care and expertise as someone sitting in our office.

Thanks to today’s technology, our remote service agents can offer face-to-face virtual support, right in our office,  handle claims, coverage changes, and more, just like a walk-in appointment, We’ve built our systems around convenience and flexibility to make sure you’re getting the best service possible, whether it’s in-person, on the phone, via email, text or over a video call.

Why This Works

While we don’t plan to go fully remote, the truth is that walk-in appointments are no longer the norm. Most of our team works a hybrid schedule, allowing for both in-office presence and remote flexibility. We’ve continued to evolve our processes to ensure that walk-in services are still available and accommodated as needed, but the need for a full-time, in-office presence has changed. And we’ve changed with it.

One major benefit of our remote team model became crystal clear during the ice storm of 2025: While much of Northern Michigan, including our office and the surrounding counties, lost power, our remote agents based in the Lansing and Traverse City areas were still able to provide uninterrupted service to clients. This type of resilience and reliability is exactly why remote staffing is not just a convenience; it’s a smart, forward-thinking solution.

Why We Don’t Just “Train Someone New”

Hiring and training someone brand new to the insurance industry is always a great option when the timing and team dynamics allow for it. But the reality is that it can take 2–5 years to bring a new, unlicensed employee up to the level of an experienced insurance professional. That’s a big investment, and one we’re happy to make when we have the right support in place. However, when workload demands are high, we need agents who can jump in and serve clients right away, without sacrificing accuracy or quality.

Why You May Not Always Reach a “Local” Agent

We understand that some clients prefer to work with someone local, but our current alpha split system (where clients are divided alphabetically among service agents) is designed to balance workloads fairly and ensure timely service across the board. If we try to route every local client to a specific person, we risk overloading that individual and delaying response times for everyone.

Our goal is always to provide exceptional service, no matter where your assigned agent is located. Whether you’re working with an agent located in our Petoskey office or an agent located in Traverse City, you’re still receiving support from a trusted, highly trained, and licensed Harbor Brenn team member who’s fully committed to your needs.

In Summary

Remote insurance service agents are not a step back; they’re a step forward. They allow us to:

  • Hire and retain top talent across the state

  • Provide uninterrupted service even during local emergencies

  • Offer flexible, virtual options that match today’s busy lives

  • Balance workloads more effectively so every client gets timely support

We remain committed to personalized service, strong relationships, and being there when you need us, whether we’re sitting across the desk or connecting from across the state.

If you ever require special accommodations, we’re happy to help. We can arrange for an in-office team member to walk you through the process and make sure you feel confident every step of the way. Give it a try, you might just find that working with a remote agent is easier, more convenient, and just as personal as you’d hoped.
